MINUTES OF SPECIAL MEETING OF THE BOARD OF DIRECTORS
OF AMBERLEIGH HOMEOWNERS ASSOCIATION
June 22, 2023
A special meeting of the Board of Directors of Amberleigh Homeowners Association was held
June 22, 2023 at the home of Dianne Bratz, Director/Secretary. Present at the meeting were: Roger Deffner, Director/Vice President, Dianne Bratz, Director/Secretary, Tyler Davis, Director/Treasurer, and Mary Spalding, Director.
Roger called the meeting to order at 7:00 p.m.
The primary purpose of this meeting was to count and ratify the vote of Amberleigh's 2023 Annual Homeowners' Meeting. After counting the ballots and ratifying the vote the results stand as follows:
61 ballots or 69% of Amberleigh Homeowners voted and returned their 2023 ballots.
The 2023-2024 proposed Amberleigh Budget passed unanimously.
Amberleigh's 2022-2023 audit will be carried out by an internal volunteer committee per an overwhelming majority vote in favor of this decision.
Roger Deffner, Tyler Davis, and Mary Spalding will officially serve their respective terms as Board Directors per an overwhelming majority vote in favor of this decision in each case.
Amberleigh's CC&R's will be amended to include a specific clause requiring a 6-month-owner-in-residence for each future Amberleigh home sale before the renting of said home will be allowed. This change will be made per an overwhelming majority vote in favor of this decision.
The Board spent some time reflecting on this year's election process, suggesting several possible ideas to involve our residents more easily in the voting process which included:
Manually delivering a hard copy of the ballot to each Amberleigh front porch along with sending a digital version via email with the meeting and budget information packet
Provide ballot return boxes at homes in each quadrant of the neighborhood to make ballot return more feasible for our less mobile neighbors
Tracking how ballots are returned, i.e. digitally or manually
Mary asked if Dianne would send out an Amberleigh-wide reminder email two weeks before our 2023 Night Out set for Tuesday, August 1. Mary and Dianne will coordinate that message.
As our annual audit gets underway the Board discussed how to best coordinate it with Amberleigh's transition to PayHOA on July 1. The audit will be handled both digitally and in print, with Tyler making himself available to the audit committee for any concerns or questions.
Roger adjourned the meeting at 7:50 p.m.
